Agency accounts

Agency accounts on HealthSherpa let agents link accounts together, and give agency administrators visibility and control over their downline.

Agency functionality lets licensed agents link their individual HealthSherpa accounts together in compliant structures. Agency administrators have visibility into the agency downline and control over certain agent settings.

Agency hierarchy

Licensed agents can link their individual HealthSherpa accounts together to form an agency. Accounts linked to an agency become part of the agency's downline.

An agency can organize its downline into:

  • Direct downline agents: Individual agent accounts linked to the agency.

  • Sub-agencies: Separate agency accounts linked to the agency. When a sub-agency joins an agency, the agency becomes the sub-agency's upline agency.

In this example, Agency A's downline consists of four direct downline agents and one sub-agency, Agency B. Agency A has visibility into all accounts shown, including those aligned under Agency B and Agency C.

Agency A controls many features for its direct downline agents but does not control agency features for Agency B, Agency B's downline agents, or Agency C.


Understand HealthSherpa account types

HealthSherpa allows licensed agents to choose from three account types when working to connect consumers to Affordable Care Act (ACA) coverage.

Only certain HealthSherpa account types that are not already linked to an agency can create an agency account. Additionally, some HealthSherpa accounts can only be linked when the account types match.

HealthSherpa for Agents account

  • Can create an agency account

  • Can link to an agency whose primary admin has a HealthSherpa for Agents account

  • Cannot link to an agency whose primary admin has a carrier-specific account type

HealthSherpa Enrollee Assistance Full-Service account

  • Cannot create an agency account

  • Can link to an agency whose primary admin has a HealthSherpa for Agents account

  • Cannot link to an agency whose primary admin has a carrier-specific account type

Carrier-specific account

  • Can create an agency account

  • Can link to an agency whose primary admin has a carrier-specific account under the same carrier

  • Cannot link to an agency whose primary admin has a carrier-specific account under a different carrier or a HealthSherpa for Agents account type

Depending on the desired agency hierarchy, agents may need to create a different HealthSherpa account type before creating an agency account or joining an agency’s downline.


Creating an agency account

Agents can create an agency during initial account creation or from the HealthSherpa dashboard by following the steps below. The agent who first creates an agency becomes the primary administrator for the agency, also known as the primary admin.

Step 1: Navigate to Account settings

Go to the Gear icon in the top right corner of the HealthSherpa dashboard, then select Account settings.

Step 2: Create an agency

Select the Agency affiliation tab within the Settings page.

Locate the Create a new agency section. Enter agency information then select Create agency.

The agency name and phone number can be updated at any time by going to the Agency page.

Step 3: Explore the Agency page

Once an agency account has been created, the Agency page appears on the HealthSherpa dashboard. Use the tools and features on the Agency page to manage the agency hierarchy.

The Agency page is only visible after an agency account has been created, and is only available to agency administrators.


Join codes

Each agency has a unique join code used to link agents and sub-agencies to the agency.

To find the join code, agency administrators will go to the Agency page. Select the Settings tab to view the Join code section.

Join codes are not case sensitive.


Linking direct downline agents

Individual agent accounts can be linked to an agency using the agency's unique join code or by using an invitation email generated by an agency administrator.

Using a join code

Agents can enter the agency join code during account creation or afterward from the Settings page.

To add a join code after account creation, agents will go to the Settings page. Agents will select the Agency affiliation tab, then enter the code in the Join an existing agency section.

Using an invitation email

Agency administrators can invite agents to create a new HealthSherpa account by selecting Invite agents from the Agency page. Agents who create an account using the invitation email will be automatically linked to the agency's downline.

Customize the email address as desired within the pop-up window then select Send email.

Each licensed agent needs their own HealthSherpa account to link to an agency. Agents may not share credentials under any circumstances.


Linking sub-agencies

Separate agency accounts can be linked to an agency using the agency's unique join code. When a sub-agency joins an agency, the agency becomes the sub-agency's upline agency.

Using a join code

Only the primary admin of an agency can link their agency to an upline agency.

To join an upline agency, the primary admin of the agency will go to the Agency page. From the Settings tab, select Upline affiliation.

Enter the upline agency's unique join code then select Join.
