Agency page

The Agency page gives agency administrators tools to manage the agency hierarchy in one place.

The Agency page is where agency administrators manage agency level tools in the HealthSherpa dashboard. Tabs across the top organize agency workflows, reporting, and settings in one place.

Agency page at a glance

The Agency page is only visible after an agency account has been created. It is only displayed within the HealthSherpa dashboard of the agency’s primary administrator & agents who have been granted administrator access.

The Agency page is where agency administrators, also known as agency admins, manage agency level tools in the HealthSherpa dashboard. The page is broken into several tabs so administrators can manage key workflows, view reporting, and control certain agency settings in one central place.

Tabs across the top include Overview, Tasks, Insights, NPN override, Exports, Consent Library, and Settings.


Overview

The Overview tab is the default view when an agency administrator selects the Agency page. It provides a quick snapshot of total agents and clients associated with the agency, including downline agents and sub-agencies.

From the Overview tab, agency administrators can view downline agents and sub-agency accounts and manage access for direct downline agents using administrator tools.

Downline agents must have Enhanced Direct Enrollment (EDE) enabled in order for administrators to manage access using administrator tools.

Administrator tools on this tab include:

  • Shared book: Administrators can grant agents access to each other’s clients & leads.

  • Full book: Administrators can grant agents access to the agency-wide list of clients & leads.

  • Admin: Primary administrators can grant administrator access to other agents in the agency.

The client count on the Overview tab may include consumers who have not yet completed an enrollment submission, or consumers who have submitted an enrollment outside of HealthSherpa.

The Overview tab also displays pending invitations sent to agents within the past 30 days that have not yet been accepted.


Tasks

The Tasks tab helps agency administrators quickly access lists of clients across the agency that meet specific criteria. Tasks can be viewed at the parent agency level, with the option to include sub-agencies linked to the agency.

Task views include Client follow-ups, Intake, Invalid Action, Renewals, and Application Sync. These views help administrators monitor common items across the agency and identify where attention is needed to keep work moving.


Insights

The Insights tab provides key performance indicators and metrics associated with the agency. Metrics can be viewed at the parent agency level, with the option to include linked sub-agencies.

Insights areas include an overview of agent & submission metrics, a Leaderboard, Submission segments, Effectuation metrics, Renewals, and Sub-agencies.


NPN override

The National Producer Number (NPN) override tab lets an agency choose agents from the immediate downline and designate them as override agents. Agents in the agency can then select an override NPN at the end of the application, and the selected NPN is applied to that enrollment submission.

From this tab, administrators can add and remove override NPNs. Administrators can also control whether downline agents can use their own NPN when override NPNs have been designated.

Downline agents must have Enhanced Direct Enrollment (EDE) enabled in order for administrators to add them to the override NPN list.

NPN overrides should not be used to avoid state appointment laws.


Exports

The Exports tab allows agency administrators to generate agency level exports for tracking and reporting. Administrators can also disable export functionality for direct downline agents from this tab.


Consent Library

The Consent Library tab helps agency administrators manage consent across the downline in one place. It supports searching by plan year, status, consumer name, or email, and it shows the agency and agent associated with each consumer.

From this tab, administrators can view and download consent, see how consent was captured, mark consent as revoked, and collect new consent when needed.


Settings

The Settings tab is where agency administrators manage key agency controls.

From this tab, administrators can update agency details and copy the agency join code. Administrators can manage certain email settings for direct downline agents, join an upline agency, and choose to have bonus payouts paid at the agency level instead of the direct downline agent level.

Some settings are only available to the primary admin of an agency and will not be available to other administrators.
