Agency tools & features

Agency administrators have access to an Agency page within their HealthSherpa for Agents account. Here, you will find several unique agency tools and features organized into tabs for easy viewing:

Overview tab

The Overview tab is the default landing page when opening your Agency page. From the Overview tab within your Agency page, administrators can:

  • View the total number of agents and clients associated with your agency

    • The Agents calculation includes your direct downline agents, as well as agents associated with your sub-agencies

    • The Clients calculation can include un-submitted people or people who were submitted via another avenue. Note: This is different from enrollments. Depending on where you're looking, enrollments can refer specifically to submissions on the HealthSherpa platform

  • View, search, and access downline agents and sub-agency accounts

  • Distribute access to agents in your downline. Note: Downline agents often need to have EDE enabled in order for you to be able to set these permissions.

    • Shared Book: Grant agents access to each other's clients and leads

    • Full Book: Grant agents access to your entire agency-wide list of clients and leads

    • Admin: Grant administrator access (restrictions apply) to other agents in your agency. Note: This setting is only available to primary admins

  • View pending invitations: The Pending invitations section displays invitations sent to agents within the past 30 days that have not yet been accepted.

Tasks tab

The Tasks tab allows agency administrators to quickly access lists of your agents' clients that meet certain criteria. You may view these at the parent agency level or you may choose to include any sub-agencies linked to your agency.

From the Tasks tab within your agency page, administrators have access to:

  • Client follow-ups: Clients with follow-ups related to coverage, premium payments, renewals, or application submissions.

  • Intake: View all intake forms completed by consumers associated with your downline agents

  • Invalid Action: Clients that have encountered the Invalid Action error. View where each client is within the Invalid Action error process.

  • Renewals: Clients and their relevant renewal risks and status.

  • Application Sync: Quickly sync an application with the Marketplace to refresh policy data and keep your book of business up to date. Learn more here.

Insights tab

The insights tab allows agency administrators to view key performance indicators and metrics associated with their agency. You may view these at the parent agency level or you may choose to include any sub-agencies linked to your agency. Watch a walk-through video of our Agency Insights tab here.

From the Insights tab within your Agency page, administrators have access to:

  • Insights overview:

    • Agent metrics

    • Submission metrics

  • Leaderboard:

    • Total submission percentile

    • Total members percentile

    • Agency submission percentile

  • Submission segments:

    • Enrollments by carrier

    • Enrollments by metal level

  • Effectuation metrics

    • Payments values

    • Documents values

  • Renewals

    • Renewal statuses

    • Renewal factors

  • Sub-agencies

    • View the list of your sub-agencies and their hierarchy

NPN override tab

The NPN override feature lets agency accounts choose EDE-enabled agents from their immediate downline (including the agency admin themselves) and make them an "override agent."

Every agent in the agency can then select from a list of override NPNs at the end of the application. Whichever NPN they choose will be applied to that application. Note: NPN overrides should not be used to avoid state appointment laws.

From the NPN override tab within your Agency page, administrators can:

  • Add override NPNs giving agents the ability to apply other NPNs from your agency hierarchy to their applications

  • Control whether downline agents can use their own NPNs when override NPNs have been designated

  • Remove override NPNs

Exports tab

As an Agency Administrator, you have access to the standard Agent Exports within your HealthSherpa for Agents account as well as unique reports that pull data at the agency level. From the Exports tab within your Agency page, administrators can:

  • Restrict export capabilities for your direct downline agents

    • Enrollments export: Includes plan information, application details, and more

    • Agent roster: Review your current roster of downline agents and sub-agencies, as well as their account settings

    • DMI follow-ups: View Agency-level DMI statuses

    • SVI follow-ups: View Agency-level SVI statuses

    • AOR at-risk clients: Identify clients where the agent of record (AOR) status might be at risk

    • Renewal at-risk clients: View applications for which renewal may be at risk

    • EDE permission lost clients: Identify clients where EDE permission has been lost

    • Payouts awaiting consent upload: Contains EAP enrollments at the agency level that need consent before payout can be administered

    • Payout program report: Agencies on an Agency JMA have access to a unique export within their Agency page which allows them to generate reports of the bonus dollars received. If you’d like bonus dollars paid at the Agency level instead of the individual agent level, follow the steps outlined here to participate in an Agency JMA

    • Invalid Action error tracker: tracks where each consumer is in the Invalid Action error process

Consent Library

The Consent Library tab allows agency administrators to easily manage both forms of consent for all consumers associated with their downline in one, central location. From the Consent Library tab within your Agency page, administrators can:

  • Search for consumers using plan year, status, consumer name, or email

  • View the agency & agent associated with each consumer

  • View the status, type, and last updated date of consent

  • See how consent was captured

  • View and download consent

  • Mark consent as revoked

  • Collect new consent when needed - you may even choose to collect consent before starting an application

Settings tab

From the Settings tab within your Agency page, Agency administrators can:

  • Update the contact information associated with their agency

  • View and copy their agency join code

  • Restrict certain post-enrollment emails for direct downline agents and clients

  • If you are the primary admin for your agency, you may also:

    • Choose to link your agency to an upline agency

    • Choose to have bonus dollars paid out at the agency level by requesting an Agency JMA setup.

Emails

Agents are able to set up custom branding within the direct marketing link included with their HealthSherpa for Agents account. Any customizations made will apply to the email notification consumers receive.

Agency administrators can also choose to control the email notification customizations at the agency level. To do this, agency administrators should visit their Agency page, and go to the Settings tab. From the Emails section you will have access to Client and Agent emails. Be sure to select the 'Save changes' button when you are finished making adjustments.

Select the 'View or edit email' button to customize each email.

This will open a pop-up where you can click to edit the signature. Any edits you make will apply to this email for your direct downline.

You can choose to utilize custom text within these fields:

  • [Agent name]

  • [Agency name]


  • [Agency phone]

  • [Account email]

By utilizing brackets around these fields, the field will populate information that's unique to each agent when sent.

You may also use the available drop down menus to adjust additional settings within each email.

Agency administrators can also choose to control follow-up document reminder emails for clients at the agency level. To do this, agency administrators should visit their Agency page, and go to the Settings tab. From the Emails section, agency admins can choose to allow their direct downline agents to control this setting, or decide to enable or disable this setting for all direct downline agents.

If you choose to enable or disable this setting for all direct downline agents, your downline agents will see a message on their Settings page indicating that their agency administrator has overridden this setting.
