Importing clients & leads

Upload an exiting book of business into the HealthSherpa account.

Import functionality lets agents upload an existing book of business into the HealthSherpa account. Importing consumer records makes it simple to manage leads & clients, handle updates, process renewals, and more from the dashboard.

Import functionality is not available within HealthSherpa Enrollee Assistance Full-Service account types.


Importing consumers

From the HealthSherpa dashboard, go to the Clients page or the Leads page.

Step 1: Select the Import button

Agents import client records from the Clients page and lead records from the Leads page. Make sure the correct page is selected, then select the Import button.

Step 2: Download the unique template

Select the Download CSV template button in step one of the instruction box.

The file linked in the instruction box is specific to the page you are on. The Comma Separated Values (CSV) template for importing leads is different from the CSV template for importing clients.

Step 3: Complete required fields

Complete all required fields listed in step two of the instruction box, and review information in the Tips section.

Step 4: Save & upload

Save the completed template as a CSV file.

When ready, select the completed file, then select Import CSV.

The instruction box will automatically close. You will be returned to the selected page and a success message will appear.

Step 5: Refresh to view

Refresh the page to view imported records.

Step 6: Establish an EDE data sync

The Centers for Medicare & Medicaid Services (CMS) grants Enhanced Direct Enrollment (EDE) permission to agents for their enrollment submissions. This permission enables data syncs between the Marketplace and HealthSherpa.

When an application has an EDE data sync, the HealthSherpa dashboard shows the most up-to-date application information and the application can be serviced.

Importing a consumer record does not create an EDE connection. Importing only adds the consumer’s information to the Leads page or Clients page.

Establish an EDE data sync for a lead

Agents can establish an EDE connection by beginning the enrollment process or by using search & claim functionality to connect to the consumer’s existing application.

To easily search & claim a lead's existing application, find the desired consumer record then go to the Actions column. Select the drop-down menu next to the consumer record, then choose Search Marketplace.

This will open the Marketplace search page where the consumer's information will be pre-populated. With consent, agents can establish an EDE connection by using search & claim functionality to connect to the consumer’s existing application.

Consumers listed on the Leads page automatically move to the Clients page after an EDE data sync is successful.

Using import templates

The Comma Separated Values (CSV) template for importing leads is different from the CSV template for importing clients.

Each template includes required fields, and the required fields vary based on the template type.

When importing consumer records:

  • Remove the sample information listed in the template before importing the file.

  • Do not adjust the headers in the template or rearrange columns.


Frequently asked questions

What is the difference between a client and a lead?

The Clients page contains consumers connected to the HealthSherpa account who have submitted an enrollment. The Leads page contains consumers who have begun the quoting and enrollment process, but have not yet submitted an application or finalized their plan selection.

The Leads page can also contain consumers who have submitted an enrollment, but have not yet had an EDE data sync established.

Does using search & claim change the National Producer Number on the application?

No. Claiming an application does not impact the National Producer Number (NPN) associated with the application.
