Archiving clients & leads

Archive a client or lead to hide the consumer record from the default view.

Archiving client or lead records helps agents keep the Clients and Leads pages focused on active consumers. This is useful when an agent is no longer working with an individual and wants to filter their book of business in HealthSherpa.

In this article we’ll cover:

Archiving consumer records is not applicable for HealthSherpa Enrollee Assistance Full-Service account types.


Archiving consumers

From the HealthSherpa dashboard, go to the Clients page or the Leads page. Agents can use the checkboxes on the left-hand side of the page to archive one or more consumers at once, or use the Actions column to archive a single consumer at a time.

Select the checkbox next to each consumer you want to archive.

Once at least one consumer is selected, the Archive button appears. Select the Archive button to proceed.

Next, you will be prompted to confirm you want to proceed. Include a note about why the records are being archived, if desired.

Select Archive to confirm the selected consumers should be archived.

The HealthSherpa dashboard refreshes and the archived consumers are removed from the current view.

Actions column

In the Actions column, select the drop-down menu next to the consumer record.

Select Archive.

Next, you will be prompted to confirm you want to proceed. Include a note about why the record is being archived, if desired.

Select Archive to confirm the selected consumer should be archived.

The HealthSherpa dashboard refreshes and the archived consumer is removed from the current view.


Viewing archived consumers

When an agent selects the Clients page or Leads page, archived consumers are hidden by default. To view archived consumers, select the Archived status filter.

The Archived status filter includes:

  • All: View archived and not archived consumer records together

  • Archived: View only archived consumer records

  • Not archived: View only unarchived consumer records

Adjust the filter to Archived or All to make archived consumer records visible.


Unarchiving consumers

From the HealthSherpa dashboard, go to the Clients page or the Leads page.

Step 1: View archived consumers

When an agent selects the Clients page or Leads page, archived consumers are hidden by default. To unarchive consumers, begin by making archived consumer records visible.

Step 2: Unarchive

Agents can use the checkboxes on the left-hand side of the page to unarchive one or more consumers at once, or use the Actions column to unarchive a single consumer at a time.

Once at least one consumer is selected, the Unarchive button appears. Select the Unarchive button to proceed.

The HealthSherpa dashboard refreshes and the unarchived consumers are removed from the current view.

Select Unarchive.

The HealthSherpa dashboard refreshes and the unarchived consumer is removed from the current view.

Step 3: Adjust Archive status filter

Adjust the Archived status filter as desired.


Frequently asked questions

What is the difference between a client and a lead?

The Clients page contains consumers connected to the HealthSherpa account who have submitted an enrollment. The Leads page contains consumers who have begun the quoting and enrollment process, but have not yet submitted an application or finalized their plan selection.

Does archiving a consumer delete the record?

Archiving a consumer does not delete the record. Archiving a client or lead hides the consumer record from the default view.
